  • Facilities Setup Request

  • A diagram library is available on our website including blank diagrams for the Commons, Board Room, and APS Room on the Lone Tree Campus.  That site also has sample diagrams for common event setups in these rooms.

    If this is an event the College has hosted in the past, we have archive diagrams on file.  Please contact our office for a previous diagram.

    Lone Tree Fourth Street

     

  • The Lone Tree Campus has:

    • 700 folding chairs
    • 40 60-inch/5 foot round tables
    • 53 72-inch/6 foot by 30 inch/2.5 foot rectangle tables

    For information on tables and chairs at the Fourth Street Campus, please contact the Office of the President.

  • Technology Requests

    Including computers, laptops, projectors, screens, sound systems, and microphones.
  • All CCC locations have wireless internet access. Wireless passwords are posted in all meeting rooms and throughout each campus. 



  • We strongly recommend using CCC computers and technology for events as this will give you the best possible technology experience.  

    Macs and Apple Products are not compatible with CCC systems. 

    If you prefer to use your own technology, you must contact Shane Pablo, IT Help Desk Manager, at 928-226-4347 or shane.pablo@coconino.edu at least one week prior to your event to ensure that your equipment will integrate with CCC systems.  If you do not contact Shane, you will not be able to use your own equipment. 

  • Food and Beverages

    Please note that the College requires the use of a professional caterer, restaurant, or other professional food service for events open to the public or that serve students. Alternately, organizations may serve prepackaged food and drink items.
  • The College's insurance provider has a catering matrix to assist with catering for CCC-sponsored events.  The matrix helps CCC employees determine if contracts, insurance, and food handlers cards are required.  The matrix also lists low and high-risk foods.  

  • Parking Needs

  • Please answer the questions below to help us determine if parking permits will be needed for your event.

    The Office of the President will be in touch with parking arrangements for your event.

  • Liability Insurance

  • All external event planners must submit a certificate of insurance naming the College and including the address of the facility being used. 

    Commercial general liability insurance should have minimum limits of $1,000,000 per occurrence. 

    Certificates of insurance can be issued for a single event or for a time period of up to a year.  If you have previously submitted a certificate of insurance, we can use that certificate as long as it will not expire before your event. 

    For assistance with a certificate of insurance, please contact your insurance agent.

  • Public Relations and Marketing

  • Social media and flier templates are available on the PR and Marketing website. 

    If you would like additional assistance promoting your event internally and/or externally, please complete a Marketing Request Form at least two weeks before your event.  

    Please be aware that Marketing and PR is not always able to respond to all requests for marketing assistance.   Once your Marketing Request Form has been received, Marketing will reach out to discuss your needs and their ability to respond to your request. 

  • Please note that the Event Request Form must be submitted and approved prior to starting any advertising or promotion.  

  • COVID-19 Information

  • Please see the College's Coronavirus website for up-to-date information on the College's COVID-19 precautions. 

    All students and visitors to CCC campuses must complete a student or visitor waiver if they have not visited a CCC campus since July 1, 2021.

    As this is a legal document, please note that anyone visiting campus who is under the age of 18 will also have to have a parent's signature on their COVID-19 waiver.   Please use the student waiver if you need parents' signatures.

     As an event planner, it is your responsibility to share information on waivers with your guests and ensure they have completed the appropriate waiver.   

    The Office of the President can provide you with a list of people who have completed waivers as needed. 

  • Outside applicants terms, conditions and signature

  • Use of Coconino Community College facilities is governed by the Use of Facilities Policy and Procedure.

  • Applicant agrees to hold CCC harmless and will indemnify CCC for damages sustained as a result of injury or property damage for which CCC may be held responsible, as part of this request for use of CCC property.

     

    Applicant assumes all responsibility for any food and beverages they choose to offer as part of this facility use event, and for any food-related damages, illness, or injury sustained by anyone in connection with this event.

     

    The College reserves the right to cancel any reservation if deemed to be in its best interest to do so. The College will not be responsible for financial loss to a potential user if such cancellation is communicated five (5) calendar days before the scheduled facility use date.  The College will not be responsible for financial loss to a potential user if the facility is made unavailable because of acts of God or any other circumstances beyond its control. 

     

    By signing this document, I agree to abide by the rules stated above as well as Coconino Community College Policies and Procedures.  I understand this agreement may not be transferable to any other individual or group.

    Please do not advertise your event until you receive final approval.  While we do our best to accommodate all event requests, we are not able to approve every event request submitted.
