Policies and Guidelines
Thank you for your interest in Pratt Gardens. Please review our guidelines and policies to see if what we offer matches your needs.
Fees:
Pratt Gardens LLC venue rental fee is $5,000 for up to 150 guests. Includes a two night stay in the bridal cottage, if you choose to utilize/stay in the guest house which sleeps up to 13 guests. This is the maximum guests that our Venue is willing to accommodate. A booking deposit of $1,000.00 is required to confirm your reservation of Pratt Gardens. This booking deposit serves as a hold for the contracted date and is deducted from the final invoice.
Payments:
The payment schedule for your event is as follows:
- $1,000 booking deposit is to be paid at the time of booking.
- Remaining balance of venue rental fee is to be paid no later than 3 months prior to your event.
- A $500.00 (REFUNDABLE) deposit will be required in the event of property damage, excessive cleaning or missing property, by no later than one week prior to the contracted event date. In the event we need to use the deposit, a detailed statement will be provided. Deposit will be refunded, after inspection within 7 business days.
- Payment may be made with cash, check, credit card, or debit card.
- A $50 charge will be assessed on all returned checks.
Date changes and Cancellation Policy:
1. Changes: In the unlikely event you need to change the date of your event/wedding, every effort will be made by Pratt Gardens to transfer your reservation to support the new date. If we are unable to accommodate the new date, and if you notify us in writing (3) months prior to the date of your event, 50% of your deposit will be refunded. If you notify us in writing of your need to reschedule within three (3) months of your event, you will forfeit your deposit.
2. Cancellation: In the event you need to cancel your event/wedding, you shall notify Pratt Gardens in writing or by email. If you so notify us not less than three (3) months prior to the date of your event, 50% of your deposit will be refunded to you. If the cancellation is within three (3) months of the date of your event you will forfeit your deposit and any paid to date fees.
3. (Force Majeure) Pratt Gardens will not provide refunds due to circumstances beyond our control. Such as inclement weather, “Acts of God”, pandemics, etc. These may include, but are not limited to: flood, electrical outage, earthquake, electrical storm, evacuation, unavailability of adequate indoor facilities, vendor incompetence, or other natural disasters. Additionally, refunds will not be made due to illness, injury, disability or demise.
Conditions of use:
Renter’s activities during the rental period must be compatible with the use of the Property/Pool house, grounds and activities in areas adjacent to the rental space and pool house. This includes but is not limited to not playing loud music or making any noise at a level that is not reasonable under the circumstances. Smoking is allowed in outside designated/marked areas only. No smoking, under any circumstances is allowed inside the main house or the pool house. The Pool house must be cleaned and returned at the end of the event as it was prior to the rental. Customer is responsible for the removal of all decorations and trash from the property, or placed in a dumpster provided on site.
Damages:
1. The client assumes full responsibility for any damage to the facilities and grounds including any damages caused by the vendors contracted by the client to be on the premises. (Caterer, DJ, etc.)
2. Client’s deposit will be used for the amount necessary to remedy any damage to the grounds or facilities.
3. Excessive cleaning will be deducted from the deposit at the rate of $150 per hour.
Event Set-Up Limitations:
1. All property belonging to Client, Client’s invitees, guests, agents and sub-contractors, and all equipment shall be delivered, set-up and removed on the day of the event.
2. Rental items must be scheduled for pick-up no later than 10:00 am the following day.
3. Alcohol service must stop no later than 10:00 pm.
4. Music (DJ or live music) must stop no later than 10:00 pm.
5. All guests must be off the premises no later than 11:00 the evening of the event. (Except clean-up crew, with all clean-up to be completed by 12:00 midnight).
6. After 10:00 am the next day if client is not completely vacated a fee of $250 per hour will be charged, up to 3 hours. After three (3) hours, a full day will be charged $2,000.00.
Hours:
1. Venue rental hours are from 8:00 am to 10:00 pm. The pool house hours are 8:00 to 11:00pm.
Unless you are renting the pool house for the night or weekend.
2. Two (2) hours is provided for rehearsal on the day previous to the event. The time will be determined in cooperation with the client. Additional time may be added if no other event is scheduled.
Alcohol:
Client assumes all liability for the service of alcohol.
- Self-service of alcohol is not permitted.
- Alcohol must be served by a licensed bartender.
- Underage drinking is not permitted for anyone.
- Guests are not allowed to bring alcohol onto the premises.
- Pratt Gardens reserves the right to terminate alcohol service to anyone at any time.
- If a guest appears intoxicated and is belligerent, Pratt Gardens reserves the right to escort guest or client off the premises, and call the authorities.
Catering/Vendors:
- A caterer of the client’s choice is permitted
- Caterer is responsible for the removal of all of their items, and equipment by the close of the event.
- Caterer is prohibited from dumping food, grease, or any other substances on the facility grounds.
- Client assumes full responsibility for the contracted DJ/entertainers.
- Pratt Gardens reserves the right to limit the volume of any music, at any time.
- Pratt Gardens is not responsible for any items or equipment set up in advance of the event or left unattended.
- Vendors must be approved and is required to meet with Pratt Gardens prior to event.
Children:
- Must be supervised by an adult/parent at all times.
- Children may play on the play structures, at their own risk and with adult supervision.
Swimming Pool:
- Use of pool and hot tub is permitted for bridal party only, at their own risk, if you are paying for an overnight stay.
- Under no circumstances will guests be allowed in the pool. The pool is provided for ambiance for the venue only, unless previously discussed and agreed upon by Pratt Gardens, LLC.
Animals:
- Animals are permitted on the premises on a case-by-case basis and must be authorized by Pratt Gardens, LLC prior to the event.
- $200 refundable cleaning deposit will be charged per pet prior to event.
- Client must provide adequate containment devices for any animal brought to the event.
Insurance:
- Pratt Gardens LLC shall carry liability and other insurance in such dollar amount as deemed necessary to protect itself against any claims arising from any officially scheduled activities during the event/program periods(s).
- Pratt Gardens, LLC shall not be held responsible for any accidents or injuries that may occur to persons or guests attending the event. Guests using the playground, pool or surrounding grounds do so at their own risk and agree to hold harmless and indemnify Pratt Gardens, LLC and its associates for any injury incurred.
- Client is required to carry liability and other necessary insurance in the amount of no less than Two (2) Million Dollars ($2,000,000) to protect them against any claims arising from any officially scheduled activities during the event/program period(s). and to indemnify Pratt Gardens, LLC which shall be named as an additional insured for the duration of the contract.
- Client will provide proof of Insurance under a policy acceptable to Pratt Gardens no later than one month prior to event.
- Insurance may be purchased at wedsafe.com or can be added to a homeowner’s insurance policy as a “rider”.
Additional Information and Requirements:
- Fireworks of any kind are not permitted.
- Fires only in designated areas and when not prohibited by local fire authorities.
- Rice, birdseed, and confetti are not allowed. If you choose to scatter silk flower petals or real flowers, they must all be picked up in their entirety.
- Photos taken prior to or during the event may be used for display or publicity purposes for Pratt Gardens LLC.
- Driving and parking on lawn areas is prohibited.
- Pratt Gardens staff may, upon request, allow access for loading and unloading under the direction and supervision of an event staff member.
- Volleyball, Croquet, Bocce ball, Tetherball and corn hole games are available upon request to be used by guests.
- Bare feet are not advised on the premises. Persons wishing to ignore this warning do so at their own risk. Shoes should be worn at all times.
- Any drug or controlled substance use or possession on Pratt Garden’s property will incur a fine equal to the maximum possible penalty. The client/guests agree to comply with all state and county laws, regulations and ordinances.
- Picking or cutting flowers, shrubs or vines is prohibited.
