Mental health services are a limited resource in high demand. As such, Tosa Pediatrics and your therapist will strictly enforce this policy.
Cancellations and Missed Sessions
A canceled session hinders our work together and negatively impacts other patients in need. Each session is a reservation of time dedicated specifically to you. A minimum of twenty four (24) hours' notice is required via email to your therapist for canceling a session. If minimum notice is not provided, or if you miss your session, you will be charged an out-of-pocket cash fee of $125 for your scheduled session. This fee is nonrefundable and cannot be billed to insurance nor applied to a deductible. A cash pricing list is available upon request. We would appreciate notice as soon as possible, as we can make that time available to another patient in need. Please make every effort to not cancel, but if you must, do so as soon as possible so we might help patients on our waiting list.
This cancellation policy applies even if missing your session was an unintentional act. There is no fee for cancellations greater than twenty four (24) hours in advance.
Frequent Cancellations or Missed Sessions
Each therapist has a limited number of available appointments. Therapy sessions are scheduled in advance and are exclusively reserved for each client. Children benefit most from therapy when regularly attending appointments.
Understandably, schedules change and there may be times you are unable to attend your session. If you are traveling, ill, or are otherwise unable to attend, teletherapy may be an option. Note that if you have arranged to have recurring appointments, the next recurring appointment following an absence will remain on the calendar. However, please be advised that two or more cancellations over a period of three months will result in the termination of treatment. If you feel it necessary to adjust the frequency of your sessions, please speak with your therapist.
You may have arranged recurring sessions with your therapist (weekly, biweekly, or monthly If you incur a late cancellation or missed session, keep in mind your next recurring session will remain on the calendar. Therefore, please email your therapist or call the office if you plan to cancel that session in order to avoid a second No Show/Late Cancel charge of $125 and subsequent discharge.
Late Arrival to Session
A delayed start to your session also hinders our work. As such, you are expected to begin each scheduled session on time by arriving ten (10) minutes early. If you are fifteen (15) or more minutes late, you will be charged the out-of-pocket cash fee of $125 as described above.
Waiving of Fees
In the event of an emergency or a serious or febrile illness in your immediate family, the fee for late cancellation or missed session will be waived. However, you are allowed only one (1) waiver every six months. Some examples of emergencies include car accidents and deaths in the family. Work issues and traffic do not constitute emergencies.
Fees will also be waived if a phone or video session is an alternative for both you and your therapist. A phone or video session will be scheduled for COVID-19 exposure requiring quarantine.
