Consistent Attendance / Cancellation
We know based on research and data that children make the best and most significant progress when they are seen consistently. Frequent cancellations, no-show visits, and arriving late to scheduled sessions is detrimental to your child’s progress towards therapy goals. In addition, low attendance can result in insurance refusing coverage for services. Our goal is to partner with you and your child to achieve the best therapy outcomes as quickly as possible. Consistent attendance also makes efficient use of the therapist’s time and efforts. Acceptable reasons to miss therapy appointments include illness, inclement weather and emergency situations.
If more than TWO appointments are cancelled or missed without being rescheduled within a 3 month period, we will be unable to hold your appointment time and you will be placed at the bottom of our waitlist.
Insufficient Cancellation Notice / “No-Shows”
Should clients need to cancel or reschedule their scheduled appointment, the therapist or RTS office should be notified at least 24-hours in advance. Failure to provide adequate notice of cancellation will be considered a “no-show” appointment and may result in a “no show” fee of $30 each time this occurs.
An appointment is considered a “no-show” if (1) it is cancelled less than 24 hours before the start of the scheduled appointment, (2) you arrive 10+ minutes late for the scheduled speech therapy appointment or 15+minutes late for scheduled occupational/physical therapy appointment, (3) you do not come to the office at the scheduled time, (4) you are not home when the therapist arrives for the scheduled appointment, or (5) your child is not at daycare when the therapist arrives for the scheduled appointment.
Make-up sessions are strongly encouraged and will be scheduled based on the therapist’s and family’s scheduling availability. Missed sessions that are not made up will negatively impact your child’s progress in therapy and will count against our attendance policy.
If you are going to be late please notify your child’s therapist or the RTS office as soon as possible. Your therapy session may need to be rescheduled or cancelled due to time constraints if you are more than 10 minutes late to your appointment. Please note that if you are late, your session will not be extended to make up the time missed.
Clients and their families should NOT come to the clinic when they are sick. Please cancel therapy when the following occur: vomiting within 24 hours, fever of >100 degrees within 24 hours, rash, diarrhea, skin infections, eye infections, excessive coughing, etc. Therapists reserve the right to cancel sessions and/or turn families away from the office if a child arrives ill.
We know that life is hectic. If it is hard for you to maintain a consistent weekly appointment, please discuss possibly changing days/times/frequency with your current therapist. If you find that your schedules are not aligning, our office staff will work with you to find another therapist at RTS who can work with your child on the preferred days/times.
Commitment to Therapy
It is important to understand that your child’s spot is being held for your child only. Along with that comes the expectation that you will be committed to regular attendance. Due to the time and effort required on therapists' parts to create evaluations, plans of care, etc. we will only begin services if a client intends to continue services as recommended per the current plan of care. If unforeseen circumstances arise that require a decrease in frequency, please discuss with your therapist ASAP.
Reliability/ Responsiveness to Communication
It is important that you communicate with your child’s therapist in order to maintain a consistent therapy schedule. Please let your therapist know how you prefer to communicate and promptly return phone calls, emails or texts. If your therapist does not hear back from you after 3 attempts in a row are made to communicate regarding scheduling, your child will be placed back on the waiting list for services.
